Kids Adventure Parties Terms and Conditions

  1. Booking Timelines: Parties must be booked at least 4 weeks in advance. 
  2. Venue Usage: The party will be held outdoors unless an indoor arrangement is specifically requested, subject to availability and an additional fee as outlined in the pricing.
  3. Party Schedule: Parties may only be scheduled on weekends, subject to availability.
  4. Booking Confirmation: A non-refundable deposit of £75 is required to confirm the booking. The remaining balance must be paid in full at least one week before the party date.
  5. Cancellation Policy:
    • Cancellation up to one week before the party date: Full refund minus the non-refundable deposit.
    • Cancellation within one week before the party date: No refund will be issued.
  6. Disclosure of Details: All relevant details, including medical conditions and dietary requirements of the attendees, must be disclosed via the provided booking form at the time of booking.
  7. Responsibility: The party organiser is responsible for the behaviour and safety of all attendees throughout the duration of the event.
  8. Supervision: Adequate adult supervision must be provided for the duration of the party. Our staff will not be responsible for children during your party.
  9. Damage and Cleanliness: The party organiser is responsible for any damage caused to the venue or its facilities during the event. The venue must be left clean and tidy after use.
  10. Safety Regulations: All attendees must adhere to safety regulations and guidelines provided by the venue staff. Failure to comply may result in the termination of the event.
  11. Wet Weather Conditions:
    • If the weather is due to be wet, we suggest booking indoor space for your party otherwise all activities will take place outdoors.
    • In the event of wet weather, alternative indoor activities will be provided, subject to availability and agreement with the party organiser.
    • If the party organiser chooses to cancel due to wet weather conditions, the cancellation policy outlined in point 4 will apply.
  12. Provider Cancellation: In the unlikely event that Bowley Scout Campsite must cancel the party due to unforeseen circumstances, a full refund of all payments made, including the non-refundable deposit, will be issued to the party organiser.
  13. Decorations and Set-Up: The party organiser is responsible for any decorations and set-up required for the event. All decorations must be approved by venue staff and must not cause damage to the premises or pose a safety hazard.
  14. Noise Levels: The party organizer must ensure that noise levels are kept to a reasonable level, respecting the peace and privacy of other campsite users and neighboring properties. Our Party Coordinator will advise as necessary.
  15. Parking and Access: The party organiser and attendees must adhere to designated parking areas and access routes as instructed by venue staff. Any vehicles parked illegally or obstructively may be towed at the owner’s expense.
  16. Insurance: Bowley Scout Campsite has public liability insurance in place. A copy of the certificate can be provided on request.
  17. Vendor and Supplier Coordination: If the party organiser engages external vendors or suppliers for services such as catering, entertainment, or rentals, they are responsible for coordinating with them and ensuring they comply with the venue’s policies and regulations.
  18. Behavioural Guidelines: Attendees, including children, must adhere to behavioural guidelines set by the venue staff. Any disruptive or inappropriate behaviour may result in the removal of individuals from the event at the discretion of venue staff.
  19. Lost Children: The party organiser is responsible for ensuring the supervision and safety of all children attending the event. In the event of a lost child, the party organizer must notify venue staff immediately for assistance.
  20. Health and Safety: The party organiser must ensure that all attendees are aware of and comply with health and safety regulations, including but not limited to fire safety, first aid procedures, and emergency exits.
  21. Environmental Responsibility: The party organiser is encouraged to minimise waste and environmental impact by adhering to recycling and waste disposal guidelines provided by venue staff.
  22. Entertainment and Activity Waivers: If the event includes activities with inherent risks, such as outdoor games or adventure activities, the party organiser may be required to obtain signed waivers from participants or their guardians to acknowledge and accept these risks.
  23. Publicity and Promotion: The party organiser agrees that Bowley Scout Campsite may use photographs, videos, or testimonials from the event for promotional purposes, unless otherwise specified in writing at the the time of booking.
  24. Complaints and Feedback: Any complaints or feedback regarding the event should be communicated to venue staff promptly and in a constructive manner, to allow for resolution or improvement where possible.
  25. Governing Law: These terms and conditions shall be governed by and construed in accordance with the laws of England. Any disputes arising from these terms and conditions shall be subject to the exclusive jurisdiction of the courts of England.

By confirming the booking, the party organiser agrees to abide by the above terms and conditions.
