Family Fun Days Booking Terms and Conditions

These terms and conditions apply to Family Fun Days bookings at Bowley International Scout Centre (“Bowley”, “we”, “us”, “our”). Bowley International Scout Centre is wholly owned and operated by East Lancashire County Scout Council (a registered charity in England number: 521711) (“ELCSC”).

By making a booking you confirm that you have read, understood, and agree to these terms and conditions on behalf of yourself and all members of your booking party.

1. Bookings and how they are made

1.1. All bookings must be made online via our booking form. We do not accept bookings in person, by telephone, by social media message, or by any other method.
1.2. Submitting the online form and payment is a booking request and does not guarantee a place. Your booking is only confirmed once you receive written confirmation from us that includes your date and time slot.
1.3. We will do what we can to accommodate any preferences you provide. If we cannot accommodate your preferred date/time and you cannot attend any alternative options we offer, we will provide a full refund.

2. Payment

2.1. Full payment for your entire party is required at the time you submit your online booking request.
2.2. Prices are as advertised at the time of booking, unless a clear error has been made. If we identify a pricing error, we will contact you and you may choose to proceed at the correct price or receive a full refund.
2.3. Refunds (where due under these terms) will be processed back to the card used to make the original payment.

3. Changes to your booking (excluding cancellations)

3.1. You may request changes to your booking (excluding cancellations) up to two weeks before your confirmed booking date, provided you give written notice to bookings@bowley.org.uk.
3.2. We do not accept changes by telephone.
3.3. Changes are subject to availability and operational requirements. We will confirm any agreed change in writing.
3.4. Your booking cannot be moved to a different day (even if one is available) unless agreed in writing by Bowley.

4. Cancellations by you and refunds

4.1. You may cancel your booking up to three weeks before your confirmed booking date and receive a full refund, returned to the card used to pay.
4.2. Cancellations made less than three weeks before your confirmed booking date are not refundable.
4.3. If you do not attend your booking (a “no-show”), no refund will be provided.
4.4. To cancel, you must email bookings@bowley.org.uk from the email address used in your booking, clearly stating your booking reference and the words “Cancellation request”.
4.5. Where a Family Fun Day is a leisure service provided on a specific date, the usual 14 day “cooling-off” right for some online purchases does not apply. Your cancellation rights are as set out in this section.

5. Information you must provide (access, medical, additional needs)

5.1. You must provide any relevant information about access needs, disabilities, medical needs (including allergies), sensory needs, or any other requirements for any member of your party at the time of booking.
5.2. We, or East Lancashire County Scout Council, may contact you about the information you provide so we can plan appropriately and support a great visit.
5.3. If important information is not provided in advance, we may be unable to safely accommodate particular activities, and in serious cases we may need to restrict participation for safety reasons. This does not automatically entitle you to a refund.

6. Attendance, arrival, and late arrival

6.1. Your booking is for the confirmed date and time slot stated in our written confirmation.
6.2. Please arrive on time. If you arrive late, we may need to shorten your session or, where required for safety and scheduling, refuse entry, in which case the booking will be treated as a no-show and is not refundable.

7. Supervision, conduct, and eligibility

7.1. Children and young people remain the responsibility of the parent, guardian, or designated responsible adult at all times unless we confirm in writing that specific supervision arrangements apply.
7.2. All participants must follow staff instructions and site rules. We may refuse participation, or require a participant to leave an activity or the site, if behaviour is unsafe, disruptive, or puts others at risk. In these circumstances, no refund will be due.
7.3. Some activities may have age, height, weight, or ability requirements for safety. If a participant does not meet the requirements, we will offer suitable alternatives where possible, but this does not automatically entitle you to a refund.

8. Activities, weather, and operational changes

8.1. Activities may vary depending on weather, staffing, safety considerations, or other operational factors.
8.2. We may substitute, amend, or withdraw an activity at short notice where necessary for safety or practical reasons. Where a significant change is required, we will aim to offer an appropriate alternative.

9. Cancellations or changes by us

9.1. We may need to cancel or reschedule a Family Fun Day due to circumstances outside our reasonable control, including (but not limited to) severe weather, site safety issues, illness affecting staffing levels, or other events that make it unsafe or impractical to operate.
9.2. If we cancel your confirmed booking, you will be offered either an alternative date/time (where available) or a full refund.
9.3. Our liability in the event of cancellation is limited to the amount you paid for the booking. We do not cover indirect losses such as travel costs, accommodation, or loss of earnings.

10. Photography and filming

10.1. From time to time we may take photographs or video on site for promotional and training purposes. Where this includes identifiable individuals, we will follow our consent process and safeguarding practices.
10.2. If you do not want you or a member of your party to be photographed or filmed, please tell us at the time of booking and again on arrival.

11. Personal property and damage

11.1. Personal belongings are brought to site at your own risk. We are not responsible for loss, theft, or damage to personal property, except where caused by our negligence.
11.2. You are responsible for any loss or damage caused by you or members of your party to Bowley property, buildings, equipment, or grounds, beyond fair wear and tear.

12. Liability

12.1. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud, or for any other liability that cannot be excluded by law.
12.2. Subject to clause 12.1, we are not liable for losses that are not reasonably foreseeable, or for indirect or consequential losses.

13. Data protection

13.1. We will process personal data you provide for the purposes of administering your booking, supporting participation (including access and medical information), and meeting safeguarding, insurance, and legal obligations.
13.2. We will handle personal data in line with applicable UK data protection law. If you would like further details, contact bookings@bowley.org.uk.

14. Governing law

14.1. These terms are governed by the laws of England and Wales. Any disputes will be dealt with by the courts of England and Wales.
